Overall Purpose of the Job

Purpose Statement

The Technology Administrative is responsible for the office operations and procedures; maintaining HR & payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions process; assigning and monitoring clerical functions.


Education (Formal Qualification Required)


  • Grade 12


  • Any Financial related qualification
  • Understanding of IT structures


Legal Requirements (e.g. Driver’s License, Blasting Certificate, etc.)

Experience (Minimum Experience Required - type and number of years)


  • 2 year previous administrative experience

Position Description

Key Performance Area / Main Output

Detailed Description / Inputs

Weighting / Time Spent

HR & Payroll

  • Review and respond to HR queries and issues from the Technology team
  • Maintain Leave records
  • Manage the expense claims and overtime request within the payroll required time frames
  • Ensure HR files and Payroll admin are up to date
  • Preparation and confidentiality of employee contracts
  • Preparation of bursary agreements and record keeping of costs
  • Administration assistance with new job applications for Technology team



  • Process invoices and quotes for approval and payment
  • Management of credit card transactions and queries
  • Monthly reconciliation and allocation of credit card statements
  • Monthly capturing, consolidation and allocation of all Technology financials
  • Monthly reporting of usage and costings of Technology systems
  • Manage Technology suppliers\\\' financial accounts




  • Submissions and administration of insurance claims of technology equipment for the department and schools
  • Manage travel and accommodation
  • Adhoc office administration
